Introduction
TomTom tutorial for planners
You have TomTom GPS devices or tablets to guide your agents, as well as a Mapo account to plan your routes. Mapo and TomTom Webfleet can be linked to make your work easier, especially with the one-click export of your routes to your GPS devices. This guide will help you set up this connection.
There are four steps to connect Mapo and TomTom and to export your optimised routes to your TomTom devices in one click:
- Create a new dedicated TomTom Webfleet user for your planner.
- The planner receives an account creation and confirmation email.
- The planner connects Mapo to their new Webfleet account.
- The planner exports their routes from Mapo to the target GPS devices.
Your TomTom hardware and the Webfleet hub have some technical limitations:
- A destination is limited to 500 characters: This includes all information such as name, reference, coordinates, quantity, time, etc.
- The firmware on Pro devices is limited to 150 destinations per route.
Vehicle setup
Create a new TomTom user
Log in to your TomTom WebFleet account with your admin credentials
To link Mapo, you need to create a new dedicated user. Click on the "More" tab, then "Users", and "New" to create a new user
Your planner needs the "Expert" profile to be able to edit certain information. Enter the credentials and email address for your planner, then click "Save"
The planner's profile then needs to be set up.
Via "Advanced settings", in the "External" tab, tick "Access to Webfleet.connect interface" then click "ok" to confirm
A confirmation email is sent to your planner's email inbox
The new user will appear in your user list and will be waiting for email confirmation
You can now log out of your Webfleet admin account.

When you receive the confirmation email, follow the instructions provided
Log in to Webfleet using the planner's new credentials
Choose a permanent password. The account is confirmed once the password is set, and will have access to the vehicles in its group

Next, log in to https://app.mapo.com with your credentials
Go to Global Settings > TomTom WEBFLEET. Enter the new WebFleet credentials and your password, click "Synchronise", then "Save". The information from TomTom WebFleet will be imported and is now available in the app.
Once synchronised, your GPS number 1 in Webfleet is linked to vehicle 1 in the web app, and so on. GPS assignments can be adjusted if needed on each vehicle's page.
One-click export of your routes
On Mapo, in "Plans", open a route plan. On the right, in the control panel, you'll see an export icon:

Click the export icon, then "Orders to TomTom" to export your routes to your TomTom GPS devices.
Your orders are then sent via TomTom Webfleet to your TomTom GPS devices. You can view these orders in "Orders" or for each vehicle. All orders, the date, time sent, and the associated vehicle are visible. Your field agent will have the same orders on their TomTom GPS.
Mission status feedback (option)
After sending orders to a TomTom GPS, you can get real-time updates on their status. Every action taken on the GPS will be reflected directly on the relevant route(s) in the plan. With this active status feedback option, you can see the status of each order using coloured dots. Each colour represents a different order status. These dots are visible at each stop on every route.
The colours correspond to the following statuses:
Blue: Planned
Yellow: Started
Green: Completed
Red: Rejected
Grey: Suspended
You can activate stops based on their status
Filters are available based on the statuses reported by the TomTom GPS. By default, the "Suspended" status is not shown in the list.
For example, you can filter stops with the rejected status. Only stops with a red dot will then be active. Stops with any other status will be deactivated. In other words, these stops will be unticked and not included in the route.
With this option, you can change stop assignments for each vehicle in real time and re-optimise. If vehicle A is available at the end of its route, you can assign it an unplanned stop from another vehicle B.
Driver: getting started with the GPS
The next two sections are for staff carrying out the routes. After reading, you'll know how to view your mission orders on your TomTom GPS and navigate to your destinations using the GPS.
Prerequisites:
- Software and services: we assume your planner has a TomTom WebFleet subscription, has connected your GPS to TomTom WebFleet, and has linked the planning app (Mapo) with TomTom Webfleet.
- Hardware: this tutorial is based on TomTom PRO-52xx-72xx devices. To reset your TomTom to factory settings, go to: Settings > System > Reset, then confirm the reset.
Start your TomTom GPS
Navigation button: the "Maps / Navigation" modes can be accessed by clicking the arrow icon.
WebFleet panel buttons: turn on your GPS and wait a few minutes. When using the WebFleet fleet management solution, the WebFleet menu appears on the left of the screen
The following buttons let you manage your mission and instructions.
- ‘Active Driver Feedback’ gives you tips for economical driving.
- ‘Work Status’ shows your current work status: active on delivery, active on break, or stopped (outside working hours).

The ‘Current Order Status’ button lets you start navigating to the next stop on your route. Click to update the status of your current mission.

‘Instructions’ (or ‘Order List’) displays the list of destinations and the current instruction. The numbered badge shows how many new, unread instructions you have. Tap this button to display the full list of instructions. To go straight to a chosen instruction, select the one you want and confirm.
- ‘Messages’ lets you access your messages.

Daily use with TomTom WebFleet
Your planner has sent your mission orders to your sat nav. Switch on your sat nav.
- When you receive your missions, button (4)
‘Instructions’ list (or ‘Order List’) will show a numbered badge with the number of destinations received.
- Click on the order list icon

- In this order list, select and click on mission number 1
- Click ‘Start / Next’ at the bottom right to begin today’s route and the first mission
- To start GPS-guided navigation, go back to the map using the ‘Return’ arrow (a), then click the navigation arrow (b)
Managing your missions
You can display the current mission using button (3) ‘Current Order Status’. You can edit your route using button (4)
‘Instructions’.
- Click on a specific mission, then on ‘Start’ to pause the initial instruction and begin this new mission.
- Click on an ongoing order, and via the option, you can pause / resume / cancel this mission.
