Vehicle Settings
Each vehicle can be edited to specify its characteristics and vehicle constraints (working hours, etc.).
For a single configuration, the vehicle edit page can be accessed:
- via the “Vehicles” menu => “vehicle_name” of the desired vehicle
,
- via the “Vehicles” menu => “List”, then click the “Edit” button
for the desired vehicle.
For multiple configurations, the vehicle edit page is accessible via the “Vehicles” menu => “List”.
Note
From the Plans page, vehicle settings can be accessed via the button located above the routes.
Menus with a blue right arrow expand to display the items in the section. Once information is saved in the section, the items are always displayed.
Vehicle Section
- Name: name the vehicle to distinguish between different vehicles,
- Departure/Arrival: select the departure and arrival locations from the dropdown menu, choosing from the depots created. If you select “None”, the route starts at the first destination and/or ends at the last destination.
- Working hours: set the start and end times for the vehicle’s availability.
- Depot times: preparation times at the start and end of the day, outside of time spent on the road.
- Working duration: staff working time, often a legal duration.
Vehicle range
-
Maximum distance: set the maximum distance your vehicles can travel, in km. This may correspond, for example, to an energy range.
-
Capacities (optional): set the maximum capacity of the vehicle according to the chosen deliverable units (number of meals, number of parcels, volume, weight, etc.). The vehicle capacity should match the Quantities entered when setting up Destinations. This constraint is not blocking during optimisation calculations. You can set an unlimited number of deliverable units for a single vehicle. This is especially useful when the vehicle has several capacity limits, such as both volume and weight,
-
Vehicle Skills
Vehicle Skills (optional): The Skills offered in the dropdown menu reflect the Labels created via “Destinations” > “destinationName”. One or more skills can be assigned to a vehicle. These allow you to associate specific professional skills with a vehicle. For example, the label “tail lift” can specify a visit requiring a vehicle with a tail lift; the skill “tail lift” indicates which vehicle(s) have this skill. Assigning a skill forces the calculation to include visits or destinations for the vehicle with that skill. Important: a vehicle can have one or more skills. You must declare the skills for each vehicle (skills are not taken into account if they are not declared),
Note
Labels can be created when setting up new Plans, Zoning, and Deliverable Units. They are displayed in “Destinations” => “Labels”.
- Itinerary calculator
The itinerary calculation allows you to choose the type of vehicle as well as the type of optimisation required.
Vehicle type: Light vehicle, HGV, bicycle, pedestrian, etc.
Optimisation type: Fastest, shortest
Several combinations are possible and a dedicated article covers this setting.
Emissions/Consumption
- Emissions/Consumption (optional): select the vehicle’s fuel type and enter the average consumption according to the vehicle’s configured units to obtain CO2 emissions during optimisation calculations,
- Mobility devices are displayed next. The dropdown menu offers options to link the vehicle to the desired GPS or application. Mobility devices or applications must be listed in the global settings to appear here. They can be enabled on request to support.
Driver
- Email: driver’s email address (to receive the route on a mobile device),
-
Phone number: driver’s phone number.
Vehicle Configuration
Vehicle configuration allows you to set the same standard parameters for all vehicles in the fleet, while still being able to configure each parameter for each vehicle individually.
You can have several vehicle configurations, for example to set up a weekday configuration and another for weekends. The multi-vehicle configuration option is available on request from the sales team.
The fields to be completed are part of the default configuration fields for your vehicles as seen in Vehicle Configuration.
14. Departure/Arrival: select the departure and arrival locations from the dropdown menu, choosing from the depots created. If you select “None”, the route starts at the first Destination and/or ends at the last destination.
15. Working hours: set the start and end times for the vehicle’s availability.
Depot times
Depot time (before/after): preparation times at the start and end of the day, outside of time spent on the road,
17. Working duration: Working duration: enter the working time for your mobile staff. The working duration must be less than the total working hours (including service but excluding the break).
Break
Break duration/Location: the duration of the driver’s break, as well as the location (for example, a “depot”).
Break window (start/end): the hours during which the break can be taken (example: from 13:15 to 14:00 means the break can start any time between 13:15 and 14:00).
Vehicle costs
9. Hourly cost: enter the driver’s cost in € (wages, employer contributions, travel expenses). The amount entered is multiplied by the number of hours required to complete the route.
10. Per kilometre cost: enter the vehicle cost in € (fuel, tyres, maintenance/repairs, tolls (optional)). The amount entered is multiplied by the number of kilometres travelled during the route.
11. Fixed daily cost: enter the operating cost in € (vehicle financing and renewal, insurance, road tax, indirect structural costs). The amount entered is multiplied by the number of days required to complete the route.
Note
The costs calculated in this way are visible on the Plan page in the summary of information per route or for the whole Plan.
Deactivate a vehicle
This function allows you to manage the absence or removal of a vehicle.
- For a single configuration, in the “Vehicle” menu => “List”,
- or directly in the “Vehicle” menu => “vehicle_name”,
- For multiple configurations, click on the chosen configuration.
Deactivate the vehicle(s) of your choice by clicking the “Deactivate” button.
Deactivating a vehicle removes it from all route plans using it. Visits assigned to this vehicle become “Unplanned” and are available to be reassigned to other routes.
